Privacy Policy

This Privacy Policy explains how Aria Labs (“Aria Labs,” “we,” “us,” or “our”) collects, uses, and shares personal information when you visit our websites, request a demo, or use our operational intelligence platform (the “Service”). In this Policy, “personal information” means any information relating to an identified or identifiable individual.

Aria Labs is a business-to-business company. For personal information in the data our customers send to or connect with the Service (“Customer Data”), we generally act as a processor (service provider) on the customer’s behalf, and our handling is governed by our agreement with that customer — our customers are the data controllers, their own privacy policies apply, and we are not responsible for their privacy practices, which may differ from this Policy. For personal information we collect about website visitors, prospects, and account contacts, we act as the controller, as described below.

Our approach is simple: we collect the minimum information we need, your data stays yours, and we never sell it.

01Our Approach to Your Data

We designed Aria Labs to be safe for enterprise teams to adopt. We hold your information to a few clear commitments:

  • Minimal by default. We collect only the information we need to provide, secure, and support the Service and to respond to your requests — nothing more.
  • Your data stays yours. You retain ownership of the data you submit to or connect with the Service. We process it only to provide the Service to you and on your instructions.
  • Never sold. We do not sell personal information and do not share it for cross-context behavioral advertising.
  • Not used to train others’ models. We do not use the data you process through the Service to train foundation models for the benefit of other customers, and our model providers are contractually barred from training their general models on your content.
  • You stay in control. You can access, export, or delete your data, disconnect any integration at any time, and a human stays in control of consequential decisions.
  • Secured and isolated. Customer Data is tenant-isolated, encrypted in transit and at rest, and protected by least-privilege access controls.

02Information We Collect

Information you provide

  • Communications. If you contact us — through our forms, by email, or for support — we receive your name, work email, the contents of your message and any attachments, and any other information you choose to provide.
  • Demo requests. If you request a demo, we collect details such as your name, work email, company, role, the email addresses of any guests you invite, and anything else you choose to share.
  • Account information. When you or your organization set up access, we collect account and authentication identifiers for your Authorized Users.
  • Careers. If you apply for a job with us, we collect the information in your application and resume, such as your education and work history — including information you make available through a third-party service such as LinkedIn if you apply that way.
  • Payment information. If you make a payment, your payment details (such as card or other financial information) are collected by our third-party payment processor on our behalf; we do not store full payment card numbers.

Information collected automatically

  • Usage and device data, such as pages viewed, actions taken, browser and device type, and approximate location derived from IP address.
  • Log data and identifiers, including IP address, timestamps, and cookie or similar identifiers (see Cookies below).

03How We Use Information

We use personal information to:

  • Provide, operate, secure, and support the Service, including running Execution Patterns and generating Output at your direction.
  • Respond to demo requests, communicate with you, and provide customer support.
  • Maintain and improve the Service, including troubleshooting, analytics, and developing new features.
  • Protect the security and integrity of the Service, prevent fraud and abuse, and enforce our terms.
  • Send service and, where permitted, marketing communications — you can opt out of marketing at any time.
  • Facilitate transactions and payments.
  • Generate de-identified or aggregated information that no longer identifies you, which we may use for any lawful purpose, such as analytics and reporting.
  • Comply with legal obligations and establish, exercise, or defend legal claims.

04AI, Machine Learning, and Your Data

The Service uses AI and machine learning to turn repeated work into reusable Execution Patterns and to generate Output. We use Customer Data to provide the Service to you and to improve your own Execution Patterns based on the feedback those runs produce. As between you and Aria Labs, you retain all rights to your Customer Data; we act on your instructions and use it only to provide the Service to you.

We do not use Customer Data to train foundation models for the benefit of other customers, and we do not sell Customer Data. Where we use third-party model providers to process prompts and content, we do so under agreements that prohibit them from using your content to train their general models. Output is assistive and intended for human review; the Service does not make autonomous legal, regulatory, or compliance decisions on your behalf.

06How We Share Information

We share personal information only as described here:

  • Affiliates. We may share information with our current or future affiliates for the purposes described in this Policy.
  • Service providers and subprocessors that help us run the Service — such as cloud hosting, infrastructure, analytics, communications, and model providers — under contracts that require them to protect the information and use it only on our instructions.
  • Third-Party Services you connect, to exchange data at your direction and according to the scopes you grant.
  • Legal and safety reasons, such as to comply with law, respond to lawful requests, or protect the rights, property, and safety of Aria Labs, our customers, or others.
  • Business transfers, such as a merger, acquisition, financing, or sale of assets, subject to this Policy.
  • With your consent or at your direction.

We do not sell personal information, and we do not “share” it for cross-context behavioral advertising as those terms are defined under U.S. state privacy laws.

07Subprocessors

We use vetted subprocessors to deliver the Service and require them, by contract, to provide an appropriate level of data protection. A current list of subprocessors is available on request, and enterprise customers may request advance notice of changes to subprocessors that process Customer Data.

08Data Retention

We retain personal information for as long as needed to provide the Service, fulfill the purposes described in this Policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Customer Data is retained according to our agreement with the relevant customer; on termination, we make it available for export for a limited period and then delete it in the ordinary course.

When determining how long to keep information, we consider factors such as the type of information, the nature and length of our relationship with you, and applicable legal, tax, and accounting requirements. When we no longer need personal information, we delete it or anonymize it so that it no longer identifies you.

09Data Security

We use technical and organizational measures designed to protect personal information, including encryption in transit (TLS) and at rest (AES-256), tenant isolation between customers, role-based and least-privilege access controls, access logging, and ongoing monitoring. We align our practices with recognized control frameworks such as SOC 2 and continually review and improve our security program.

Enterprise customers can request a Data Processing Addendum (DPA) and additional security documentation. No method of transmission or storage is completely secure, so we cannot guarantee absolute security; please protect your credentials and use the Service responsibly.

10International Data Transfers

We may process and store personal information in countries other than where you are located, including the United States. Where required, we use appropriate safeguards for international transfers, such as the European Commission’s Standard Contractual Clauses and the UK Addendum, together with supplementary measures as needed.

11Your Privacy Rights

You can unsubscribe from marketing emails at any time using the link in those emails. Even if you opt out, we may still send you administrative messages about the Service, such as security or account notices.

Depending on where you live, you may have rights to access, correct, delete, or receive a portable copy of your personal information; to object to or restrict certain processing; to withdraw consent; and to opt out of marketing. U.S. state laws (such as in California) provide rights to know, delete, correct, and opt out of sale or sharing, and not to be discriminated against for exercising them.

To exercise your rights, contact us at privacy@arialabs.ai. We will verify your request as required by law and respond within the applicable timeframe. If your information is Customer Data processed on behalf of one of our customers, we will refer your request to that customer and assist them as needed; please contact that organization directly.

12Cookies and Tracking

We use cookies and similar technologies to operate our websites, remember preferences, measure performance, and understand how the site is used. You can control cookies through your browser settings, and where required we will request your consent for non-essential cookies. Some features may not function properly if certain cookies are disabled.

13Children’s Privacy

The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, please contact us so we can delete it.

15Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice, such as by posting the updated Policy with a new “Last updated” date or notifying you through the Service. Please review it periodically.
